Technology Books for Children believes that AI should enhance, not replace, the human expertise, creativity and judgement that sit at the heart of reading, literacy and education.
Purpose
Technology Books for Children is committed to using technology responsibly, ethically and transparently. As a charity focused on promoting reading for pleasure around technology topics, we recognise that artificial intelligence (AI) can support creativity, accessibility and operational efficiency when used appropriately.
This policy outlines how AI may be used within the charity and the safeguards in place to protect children, families, volunteers, trustees and supporters.
This policy should be read alongside our safeguarding, online safety and data protection policies available on the Technology Books for Children website.
How We Use AI
Technology Books for Children may use AI tools operationally to support planning, drafting, editing and creating content and imagery for blogs, educational resources, campaigns and social media.
AI is used as a support tool only and does not replace human creativity, professional judgement or safeguarding responsibilities.
At our core, Technology Books for Children is about books and humans. AI may support aspects of planning, drafting and content creation, but book reviews, recommendations and final editorial decisions are always made by humans using their expertise, knowledge and professional judgement.
All final decision-making is carried out by humans.
Human Oversight
All AI-assisted content, prompts and imagery are reviewed, edited and approved by humans before publication.
Technology Books for Children takes responsibility for all published content, whether AI-assisted or not.
The charity takes the inherent bias within AI systems seriously and ensures there is always a “human in the loop” when AI tools are used.
Human oversight is particularly important in areas involving children’s literature, educational recommendations and safeguarding.
Where AI tools are used, outputs are reviewed for accuracy, fairness, appropriateness and potential bias before publication or use. Staff, volunteers and contributors are expected to apply critical thinking and professional judgement rather than relying solely on AI-generated responses.
Technology Books for Children recognises that AI systems can reflect biases present within their training data. For this reason, all final decision-making remains human-led.
Responsible Use of AI
Technology Books for Children expects all staff, volunteers and contributors using AI tools on behalf of the charity to do so responsibly and ethically.
Where AI tools are used, users should provide clear and appropriate instructions, critically evaluate outputs and ensure that published content reflects the charity’s values, mission and safeguarding responsibilities.
AI should support human expertise, not replace it.
Safeguarding and Children
Safeguarding remains a priority in all digital activity carried out by the charity.
Where AI-generated imagery includes fictional representations of children, prompts are carefully written and outputs are reviewed to ensure they are age-appropriate, inclusive and aligned with safeguarding responsibilities.
Where possible, the charity seeks to use imagery featuring side profiles, backs of heads or illustrative representations rather than identifiable images of children.
The charity will never knowingly use AI to create harmful, exploitative or inappropriate representations of children.
Any safeguarding concerns relating to digital or AI-generated content will be managed in line with the charity’s safeguarding procedures.
Transparency
Where practical, AI-generated or AI-assisted content and imagery will be identified appropriately.
Examples may include:
- AI-assisted content
- AI-generated image
- Created with AI support
Data Protection and Copyright
Technology Books for Children takes reasonable steps to ensure that personal, confidential or sensitive information is not entered into public AI systems.
The charity aims to use AI responsibly and lawfully, including respecting copyright, intellectual property and UK data protection requirements.
Only approved AI platforms considered appropriate by the charity may be used for charity-related activities.
Review
This policy will be reviewed annually and updated where necessary to reflect changes in technology, safeguarding guidance or legal requirements.
